What This Privacy Policy Covers

This Privacy Policy covers how we handle Personal Data collected when you access or use our Services. Personal Data refers to any information that identifies or relates to a particular individual. Please note that this Privacy Policy does not apply to the practices of companies we do not own or control that have a separate privacy policy.

Personal Data We Collect

We only collect information we need to provide and improve the Services.

• Account data: your name, email address, and authentication identifiers, collected through Clerk when you sign up or sign in, including from a sign-in provider such as Google if you choose one.
• Sign-up records: the date you confirmed you meet our minimum age and accepted these policies. We ask for your birth month and year to check your age, but we do not store them.
• Public profile: the display name and bio you choose to publish. These are visible to anyone.
• Content you submit: topics, prompts, edit instructions, and any PDFs or images you upload, plus the lessons, folders, lesson sets, tags, and likes you create.
• Technical data: request logs such as the page or API path requested, response status, and timing, used to keep the Services running and secure.
• Messages you send us, such as support emails.

Please do not include personal information about yourself or others, such as student names, grades, or photos of faces, in prompts or uploads.

How We Use Personal Data

• Service Provision: To create and maintain your account and authenticate your login sessions securely.
• AI Content Generation: To turn your prompts and uploads into videos, interactives, and slides.
• Sharing and Publishing: To show lessons, lesson sets, and profiles you choose to share or publish.
• Communication: To send you technical updates, security alerts, and administrative messages.
• Service Improvement: To monitor system performance, fix bugs, and keep the Services safe.

We do not sell or rent Personal Data, and we do not use it for targeted advertising or to build advertising profiles.

How We Share Personal Data

We share data only with the service providers we need to run Chalksmith, and only for that purpose.

• Authentication: Clerk manages account creation, sign-in, and sessions.
• Hosting and storage: Google Cloud (Cloud Run, Cloud SQL, and Cloud Storage) hosts the Services, lesson records, uploaded files, and generated lessons.
• AI providers: Google Gemini on Vertex AI or OpenAI receives your prompts, edit instructions, and uploaded files to generate lessons. We do not send your account name or email, but anything you type or upload is sent as provided.

Content you publish to Explore, your public profile, and lessons you share by link can be seen by anyone who has access to them. We may also disclose information if required by law or to protect the safety of our users.

Children and Students

Chalksmith accounts are not available to children under 13, and we do not knowingly collect Personal Data from them. Everyone who signs up passes an age screen first. Younger students can view lessons a teacher shares by link without creating an account, and we do not collect Personal Data from those visits beyond basic request logs.

If we learn that a child under 13 has created an account, we will delete the account and its data. If you believe this has happened, please contact us at help@chalksmith.ai. Parents or guardians of users aged 13 to 17 may also contact us to review or delete their teen's data.

Cookies

We use strictly necessary cookies and browser storage to keep our Services functioning safely and correctly. We do not use advertising or third-party analytics cookies.

• Strictly Necessary Storage: Clerk stores essential session data in your browser so the platform can remember your login state across pages.
• Managing Cookies: You can modify your browser settings to decline or clear cookies, but doing so will prevent you from logging in and accessing the lesson workspace.

Data Security and Retention

We protect your information with encryption in transit, access controls, and the security measures of our hosting providers. We keep account data and lessons for as long as your account is active. Temporary data used while generating a lesson is cleared once it finishes, or within 7 days if generation fails. When you delete a lesson, we delete its records and files. When you delete your account, we delete your account, lessons, uploads, and profile within 30 days, except for copies kept in backups until they expire on their normal schedule.

Your Choices and Rights

• Edit or remove your public profile, and unpublish or delete lessons, at any time.
• Delete your account at any time from the account menu: select Manage account, then Delete account.
• Request a copy of your data, a correction, or deletion by emailing help@chalksmith.ai. Depending on where you live, including California, you may have additional rights to access, correct, or delete your data. We will not discriminate against you for exercising them.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our software or regulatory guidelines. We will notify you of any material changes by updating the Last Updated date at the top of this policy or via an in-app alert.
